Many organizations will be hosting workplace celebrations throughout this time of year. Here are a few tips for a successful, enjoyable, and safe event.
Attendance should be voluntary. If attendance is mandatory for a social function outside of normal business hours, non-exempt employees must be compensated for their time. If attendance is not required, there should be no negative consequences or statements made to employees who choose not to attend. Consider holding the event during work hours or as a half-day activity. This may make it easier for employees to attend while avoiding potential after-hours issues.
Respect diverse cultures and beliefs. Some employees may not celebrate the same holidays as others, or holidays at all. Ensure events are not centered around one particular holiday. Consider using a neutral theme, such as "winter celebration."
Alcohol. Anytime alcohol is involved, additional risks are present. Implement a practice to limit consumption. Consider providing drink tickets or applying a time limit for company-sponsored alcohol service. Also, it is important to ensure you have non-alcoholic alternatives available.
Provide transportation. Consider offering ride share service or shuttles to ensure everyone makes it home safely.
Workplace conduct rules still apply. Even if your drug and alcohol policy is modified for an event, employees must still act respectfully and follow your company code of conduct. Have managers present to subtly ensure behavior remains appropriate without being overly intrusive.
Invite Significant Others. There are various advantages to inviting significant others to the company party. It may help to increase employee engagement, foster a feeling of community, and help keep the event festive but professional. Consider hosting the party at an offsite location to create a more relaxed atmosphere while maintaining professionalism.
